- City Secretary
AppointmentThe City Secretary is an officer of the City, appointed by the City Council. The position of City Secretary is a statutory position required by State law and the City Charter.
ResponsibilitiesThe City Secretary serves the Mayor, City Council, and works closely with the City Manager, City Staff, and is the Department Head for the Municipal Court.
Responsibilities include but not limited to:
- Acts as the Public Information Officer for the City.
- Process public information requests in compliance with the Texas Public Information Act to provide citizens with a tool to access public records. (Note, Police Department records should be requested through the Police Department.)
- Attends all City Council meetings and work sessions to record and transcribe the minutes of such proceedings to provide continuity of City government as the legal record of legislative action.
- Attends various other Boards and Commission meetings for the purpose of recording and transcribing the minutes.
- Conducts a portion of the municipal elections according to established election schedules in accordance with all laws, regulations, and standards and works closely with the Brown County Elections Administrator.
- Maintains responsibility for the Records Management Program for all City departments to include maintenance, storage, retention, destruction, and preservation.
- Maintains the Document Imaging Program for the storage of City records.
- Prepares reports, memoranda, correspondence, ordinances, proclamations, and other written materials as needed.
- Prepares the agenda and compiles and organizes information and materials necessary for the Council and other administrative meetings
- Prepares the annual budget for City Secretary, Municipal Court, City Council, and City Manager.
- Signs all resolutions, ordinances, and other official documents as required by City Charter.
